When receiving a returning patient's GP2GP record, there may be instances where the export date from the previous registration is unknown. This situation can arise for several reasons, including the patient not originally being traced in, the request not arriving, or because it was before GP2GP was available. In such cases, it is essential to manually enter the export date to proceed with the filing of the record.
Steps to Enter an Export Date
- On the Workflow Task, locate the red banner indicating the absence of an export date.
- Click on Enter export date. This will open the GP2GP Export Date screen.
- Review the patient's registration status history displayed on the screen to identify the date the patient was last made inactive as a regular patient.
- Enter this date into the Export Date section.
- Click OK to save the entry. The red banner will update to reflect the date entered, and note that it was entered manually.
- With the export date entered, the filing options become available, allowing the GP2GP record to be processed accordingly.
"Manually entering the correct export date is crucial as entering a wrong date could potentially lead to loss of patient data recorded on the incoming record. Ensure double-checking the data accuracy before filing."
Filing options available include filing the incoming record as new, merging it with existing records, or rejecting it if the data quality is inadequate. Ensuring the correct export date not only facilitates accurate record integration but also maintains comprehensive care continuity, which is vital for patient safety and healthcare operations.
