When handling returning patients who were previously transferred out of your practice via GP2GP, it is crucial to ensure that their records are processed correctly to maintain comprehensive patient histories and continuity of care. Here are the steps you should follow:
Identifying Returning Patients
Returning patients are flagged with a red banner in EMIS Web, indicating when they were last transferred out of your practice. This helps in quick identification.
Filing Options for Returning Patients
- File incoming as record: If the incoming patient record is accurate and complete, you can file it to replace the existing record at your organisation.
- Merge with existing and file: This option allows you to integrate new information from the incoming record with the patient's existing information at your practice.
- Reject record: If the data quality of the incoming record is poor or incorrect, you can choose to reject the file.
Managing Unknown Export Dates
In some cases, the export date of a returning patient's record may be unknown. To rectify this:
- Click the red banner labelled "Enter export date".
- Manually enter the date the patient was last seen as a regular patient before being transferred out.
- Make sure the date is accurate to avoid data loss during any merge process.
“Accurate filing of returning patients' records ensures that all historical data is preserved, improving patient care and compliance with auditing requirements.”
