Hero Health - EMIS Web Support Guide

What are the differences between active, inactive, and deceased patients when they appear in the Patient Find results?

Active patients appear in black text, indicating they are currently registered and available to access without extra requirements. You can open their records straight away.

Inactive patients are shown in blue text. These records typically belong to individuals who have moved practice or are otherwise no longer active at your organisation. You can still open these records if needed, but you will be prompted to confirm a legitimate reason if they fall outside any grace period. This auditing helps maintain patient privacy and ensures data compliance.

Deceased patients appear in red text. They are handled similarly to inactive patients in that you must provide a valid justification for accessing their details if they are beyond the grace period. This helps protect the confidentiality of people who have passed away and reduces accidental access.

Identifying these statuses quickly helps you search, select, and file information accurately. Administrators often find this colour coding especially useful for day-to-day data management and to ensure correct patient context is always maintained.
