Hero Health - EMIS Web Support Guide

What steps are needed to access inactive or deceased patient records in Patient Find without triggering warnings?

Key steps:

  • Open Patient Find (F5) as usual.
  • If you attempt to select an inactive or deceased patient record that is beyond the grace period, a Legitimate Relationship Confirmation screen will appear.
  • Provide a valid reason by selecting from the drop-down options. If you choose Other, enter concise details justifying access.
  • If you do not have a valid reason, select No. The record remains unavailable.

This process helps prevent inadvertent access to sensitive data and preserves audit trails for compliance. It also saves time by preventing repeated pop-ups and warnings for users who have legitimate reasons to access older records.

"Having a clear Legitimate Relationship Confirmation process greatly reduces unnecessary alerts and supports accurate auditing of staff access."
