Overview
Cancelling a session with existing bookings removes it from the Appointment Book and, by default, returns booked patients to a list ready for reallocation. This process helps practice staff reorganise sessions when a session holder becomes unavailable.
Key Consequences
- Reallocation list: If you cancel the entire session and choose to move patients to the reallocation list, you can reschedule each patient at a suitable time. This prevents appointments from being completely lost.
- Assign another session holder: Instead of fully cancelling, you can reassign the same session slots to a different clinician or staff member. This ensures minimal disruption to patients.
- Cancel and lose bookings: If you opt to end the session without reallocation, all patient bookings in that session are removed. Use this option cautiously, as re-booking later will require more administration.
- Notifications and letters: When sessions are cancelled, you can choose to automatically send SMS updates (if enabled) or print letters. This keeps patients informed and minimises confusion.
Reallocating patients instead of simply losing bookings helps maintain patient records and saves valuable time by preventing the need to rebook from scratch.
