How do you archive a patient's record after they have been deducted in EMIS Web?

Archiving a Deducted Patient’s Record

When a patient has been deducted from your organisation, you can keep their details in EMIS Web without them appearing in searches by archiving their record. This helps maintain data privacy, prevents future updates to the record, and keeps your patient searches streamlined.

Before you begin: Make sure there are no outstanding tasks for the patient, such as future appointments or incomplete workflows. If there are any, resolve or cancel them first.

Steps to Archive the Record

  • Open Patient Archive: Select the EMIS Web menu, go to System Tools, then choose Patient Archive.
  • View Inactive Patients: From the ribbon, click Inactive. The list of deducted (inactive) patients appears.
  • Select the Patient: Highlight the patient(s) you wish to archive.
  • Archive the Record: Choose Archive Selected Patients on the ribbon (or right-click and select Archive), then confirm when prompted.

The patient’s record is now safely archived and no longer appears in routine searches or Patient Trace.
