To resolve issues with GP summaries not being sent automatically in EMIS Web, follow these steps to ensure proper configuration and permissions:
Check User Permissions and Smartcard
Ensure you are logged onto EMIS Web with a smartcard and have the required RBAC (Role Based Access Control) activity B0380 'Perform Detailed Health Records' in your role profile. Without this, summaries cannot be sent automatically.
Verify Patient Details
Confirm the patient's registration status is 'Records Received' and there are no local or Spine records indicating dissent. Also, ensure that the patient's demographics are synchronized with the Personal Demographics Service (PDS) by checking for any mismatches and resolving them promptly.
Configure Workflow Manager Settings
Access the Workflow Manager through the EMIS Web menu to review the SCR (Summary Care Record) settings. Ensure automatic upload settings are configured correctly to send updates automatically.
Manage the Upload Queue
GP summaries are sent to the Spine every five minutes, but ensure each summary remains in the queue for at least 15 minutes before dispatch. If a new summary is added, the existing one is replaced, restarting the timer. This setup prevents sending multiple summaries for single encounters.
"By maintaining accurate and up-to-date SCRs, healthcare providers can access essential patient information seamlessly, reducing administrative burdens and enhancing patient care continuity across the NHS."
Handle Errors in Workflow Manager
If summaries still fail to send, use the SCR module in Workflow Manager to investigate errors. Resend any GP summaries as needed or contact EMIS Support if problems persist.
