Identify missed appointments (DNAs) with Appointment Slot Reports
One effective way to analyse missed appointments is by creating or editing an appointment slot report that applies a "DNA" filter. This allows you to view the number, percentage, and timing of DNAs within a chosen date range. You can refine the report further by specifying slot types or other criteria like day of the week.
Steps to create a DNA-focused report
- Access Appointment Reporting: Select EMIS Web Menu > Appointments > Appointment Reporting.
- Create or edit a Slot Report: Choose Add, then select Slot Report (or edit an existing one).
- Set your date range: Include a broad or specific date range (e.g. “last month” or “last quarter”).
- Filter for DNAs: Under Filter Data, add the DNA filter and select Did Not Attend to focus on missed appointments.
- Define columns and rows: Pick Count, Percentage, or other metrics in Report Format. You could break data down by day, clinician, or slot type.
- Run or schedule the report: View summary tables or graphs showing trends, such as days or clinicians with the highest missed rate.
Setting a recurring schedule helps administrators spot patterns early, such as an increase in DNAs at certain times of the month.
Use scheduling for trend analysis
You can schedule your report to run periodically (e.g. weekly, monthly) and set up parameters so administrators only need to update the date range once. This keeps track of whether DNAs are rising, falling, or clustering on particular days.

If you want to reduce DNAs, consider using an automated appointment reminder service. SMS or emailed reminders can reduce no-shows and free up staff time.
