To effectively merge patient records within EMIS Web, especially when some tasks may still be pending, follow these essential steps:
Resolving Outstanding Tasks
Before attempting to merge records, it is crucial to ensure there are no outstanding tasks blocking the record merge:
- Access the Registration Workflow, located within the EMIS Web menu under Workflow Manager.
- Navigate to the Duplicate Records section in the Registration pane.
- If outstanding tasks are present, these will be marked under the Outstanding Tasks tab. Complete or delete these tasks from the incorrect record, manually recreating them on the correct record if necessary.
Transferring Information
- Check and update any booked appointments and diary tasks, ensuring they are added to the correct record.
- Manually transfer any necessary clinical information, such as medication, allergies, and problems, to the correct patient record to maintain continuity of care.
Completing all outstanding tasks before a patient record merge helps streamline administrative processes, minimizing the risk of data inconsistencies and ensuring smooth operation within the practice.
Finalizing the Merge
Once all tasks are resolved, follow these steps:
- Return to the Duplicate Records section in Registration Workflow.
- Select the transaction you want to process and click Resolve Record on the ribbon.
- Complete the merge by selecting the correct patient record and following the on-screen prompts to finalise the process.
