How should I process and file a pharmacy consultation message to ensure accurate patient records?

Filing a Pharmacy Consultation Message

When a pharmacy sends a consultation entry to your practice via GP Connect, it appears in Document Management in Workflow Manager, typically under Awaiting Filing or Awaiting Coding. Due to the automated process, any medication details are immediately filed so they can be shared (for example, with the patient’s Summary Care Record). However, the rest of the consultation remains provisional until you review and complete the task.

Steps to Process and File

  • Open Document Management: From the EMIS Web menu, select Workflow then Workflow Manager. In the left-hand pane, click Document Management.
  • Locate the Message: The sender will usually appear as EXTERNAL, USER. Select the relevant pharmacy consultation task.
  • Check the Consultation Details: Review the Summary and Consultation tabs. If there is free text that does not appear in the Summary, view the full record from the patient’s Care Record.
  • Complete the Task: Mark the task as completed once you are satisfied the correct coding and details are in place. The Provisional flags are removed, making the entry fully filed on the patient’s record.
  • Reject the Message (if necessary): If you reject the message, all provisional information is removed from the record. You may need to advise the sender that you have rejected it, as the system does not automatically inform them.
