To effectively manage duplicate patient records in EMIS Web and ensure the completeness of patient data, follow these steps in the Registration Workflow.
Access Registration Workflow
Navigate through the EMIS Web menu by selecting Workflow, Workflow Manager, and finally Registration. Ensure your RBAC activity includes B1680: Manage Demographic Duplicate Records.
Identify Duplicate Records
- In the Registration section of the navigation pane, click Duplicate Records.
- Use the screen displayed to find potential duplicate records.
Add a Duplicate Record Task
- Retrieve the two EMIS patient numbers suspected to be duplicates.
- Note which record should be maintained as correct. Add any important medical history manually to this record if necessary.
- In the Registration section, click Add Duplicate Record Task. Use Find Patient for both sets of records in the task creation screen.
- Click Add Task to create a task for further action.
Organising your patient records with this streamlined process ensures that all staff are using the correct record, maintaining data accuracy, and improving overall patient care.
Resolve Duplicate Records
- With all EMIS Web tasks completed for the incorrect record, move to Duplicate Records.
- Select the task and click Resolve Record from the ribbon.
- Go through the demographic details provided side by side to ensure proper decision-making.
- Select the resolution action that is correctly applicable: "Duplicate records of the same person" or "Distinct records of different people".
- Confirm with OK, then Yes when prompted, to resolve the duplication.
