Interpreting External Record Access

Use the EMIS Web Audit Trails to see which external user accessed a patient’s record and why. Go to System Tools, select Audit Trails, then click Record Access. Filter by Event Type set to External request and click Apply. The results display all external access events alongside their time and date.

Checking the ‘Details’ Field

Within the results, the Details field shows the specific reason for the external request. For example, this could include out-of-hours clinics viewing patient information for urgent care. Reviewing these details helps ensure data is only accessed for valid clinical or administrative needs.

Tip: Regularly monitoring the ‘Details’ field under Audit Trails helps you identify any unusual access requests, improves patient confidentiality, and maintains data governance standards.
